Deposits & Final Payments
Motorcoach Tours - $10 per person deposit on most tours; final payment due 45 days prior to departure.
Fly-In Tours, International Tours and Cruise Tours - Varies per tour, please check tour departure for more details.
Special deposit and final payment policies may apply to some tours as noted. You will be reminded of your final payment deadline by mail. At that time, you will receive all scheduled hotels, including addresses and telephone numbers and general information concerning the weather and clothing. Prices are subject to increase until final payment is received.
Unless otherwise stated, all tips for services rendered are paid by Dan Dipert Tours. Gratuities for your Tour Manager and Driver on International Tours and ship personnel for cruises are not included. Your personal discretion is advised. We respectfully request that no group collections ever be taken.
Meals not specifically listed in itinerary, alcoholic beverages, telephone calls, room service and other items of a personal nature, such as valet or laundry service, are not included as well as any incidentals incurred at the hotels.
If you do not have a friend or relative traveling with you, but wish to share a room, please call us at least 45 days prior to departure, and we will try to arrange a roommate for you. If we cannot find a roommate for you (and you requested this 45 days in advance), we guarantee that you may travel at the lower per person double rate. Guaranteed share clients must be physically and mentally independent. Guaranteed shares utilize non-smoking rooms. See "Smoking" policy. Regretfully, guaranteed shares are not applicable to cruises and international tours, however we will be glad to put you in touch with others requesting roommates, as available.
Single / Triple Accommodations
Please understand that a "single" reservation means single accommodations at the hotels, and does not guarantee a double seat on the motorcoach. Be advised that triple accommodations at the hotels will be two beds only. It does not cover the cost of a rollaway.
Seat requests will be honored in order of final payment, paid in full, was received into our office. Please request front, middle, rear, aisle, window seat at time of final payment. We will make every attempt to keep all members of your party together. Odd numbered groups may be seated across from, or in front of each other, and/or matched with other odd-numbered groups to avoid single seats scattered through the motorcoach. We are unable to reserve seats for special needs such as motion sickness. If you have a special need, it is best to check with your doctor for advice. Also, you may wish to make your reservation and pay early to secure a seat which may alleviate the problem. Legroom varies throughout the coach and can not be guaranteed for any passenger.
Changes In Accommodations
If a single room must be assigned because your roommate cancels (even if at the last moment or while on the tour), we must out of necessity charge you the supplement or pro rata thereof since the hotels make no allowance. Likewise, if one of three roommates cancels, resulting in double, rather than triple occupancy, your final billing must be based on double occupancy.
We must limit luggage to one large bag per person, weighing no more than 50 pounds per person. We require that no hanging garment bags be used. You may also carry one small bag - without wheels, not larger than 8"X17"X20". Any carry-on bag or other personal property is solely your responsibility and must be removed from the coach each evening.
Smoking / Liquor
No smoking, chewing tobacco or open liquor is allowed on the motorcoach. Frequent (about every two and a half hours) rest / meal stops afford the opportunities to smoke outside the coach. Smoking in non-smoking rooms is not allowed. Any cleaning charges for violating hotel policy will be borne by you.
Tour Directors are permitted to share a moment of non-denominational inspiration with full cognizance of the divergence of beliefs of individual passengers.
We will try to accommodate special requests at the hotels. Unfortunately, we cannot guarantee certain hotel rooms.
Tour participants who require any form of personal assistance must be accompanied by a companion who is capable of, and totally responsible for, providing such assistance. Tour directors and drivers cannot assist with individual physical, medical or personal needs. Persons with severe dietary restrictions are advised that special diet orders cannot be accommodated. Your fold-up scooter or walker will be allowed on a first-come, first-serve basis and must be mentioned at the time of booking.
Between tour planning time and actual tour operation, our Operations Department constantly strives to improve each itinerary to add to your convenience and enjoyment. If improvements can be made, or if unforeseen conditions beyond our control deem change necessary, we reserve the right to vary itineraries and substitute facilities or attractions of equivalent or better value. During national or local holidays, certain listed features such as museums, shopping opportunities, or special tours may be limited or unavailable. In the event of cancellation of any scheduled outdoor show or event for any cause, we will attempt to provide suitable substitute attractions.
In an effort to provide you with the best possible price, we diligently seek the lowest airfare available at the time of booking. A service charge will be included for each ticket printed. Airline tickets and service charges are non-refundable; airfares increase frequently without notice. Airfares included in the price are those in effect at the time of printing and are subject to change without notice. The airlines also assess penalties for changes. Please be sure that you understand all airline cancellation and change policies before purchasing your tickets. Also make sure that you give the proper legal name that is on your passport and drivers license when booking a fly-in or international tour. Dan Dipert Tours is not responsible for airline assessed penalties or non-refundable tickets or improper legal documentation. Please examine your e-tickets thoroughly upon receipt. Transfers at the arrival city are provided only if tickets are coordinated with the group?s arrival and departure times.
Cancellation and Deposit Protection, Trip Interruption and Luggage & Contents Protection
An optional protection is available in case you need to cancel the land portion of your tour 30 days or less prior to departure.(See Refund Policy that applies to cancellations). Another optional Trip Interruption Protection plan is available should you have to leave the tour anytime after departure. Luggage and Contents Protection is offered separately. Damage at airports and hotels should be reported immediately to airline or hotel personnel. You should obtain a Repair Authorization form from your Tour Director before the end of the tour for any damage occurring on the motorcoach. Dan Dipert Tours assumes no liability for damage or loss of protruding baggage parts such as wheels, straps, pockets, pull handles, or other items attached to baggage. Cancellation and Deposit Protection must be purchased at the time of reservation. Your Cancellation and Deposit Protection must reach our office within fourteen days of booking. Cancellation and Deposit Protection is not available when booking within 30 days or less prior to tour departure. When booking between 45 - 31 days prior to departure, payment for Cancellation and Deposit Protection must reach our office no later than 31 days prior to departure. Trip Interruption and Luggage Protection are due in our office by the time of final payment and must reach our office no later than 31 days prior to departure. Full details will be sent before your final payment is due.
A valid passport is required for foreign travel anywhere outside the continental United States. Some countries require visas as well. See www.dhs.gov for details. Dan Dipert Tours is not responsible for insuring you have appropriate documentation and any cost incurred as a result of improper documentation is borne by you. Minors may require additional documentation.
Cancellations occurring 31 days or more before departure result in a refund of the land portion of monies paid except for your reservation deposit. Although your deposit is nonrefundable, you will receive a travel certificate that may be applied to another Dan Dipert Tour within the next 12 months.
Without Cancellation Protection, the following policy applies for Cancellations:
Special policies may apply to some tours as noted*. All refundable cancellations MUST BE made during normal business hours, 8:30am - 5:00pm Monday - Friday. If you are forced to leave a tour anytime after departure, no refunds will be made without paid in full Trip Interruption Protection. Airfare is nonrefundable.
*There is cancellation protection available for purchase to cover cancellation penalties on cruises and international tours in case of illness.
Dipert Travel & Transportation, Ltd., Arlington, Texas, acts solely as your agent arranging accommodations for your trip. No liability is assumed in connection with any transportation, restaurants or lodging used for the duration of these tours. Although every effort is made to handle your luggage carefully, we are not responsible for lost, stolen, or damaged articles, including luggage or personal property. We reserve the right to cancel any tour prior to departure, and in such case, our total obligation will be only to refund all payment toward said tour. All services are subject to the laws of the country in which these services are rendered.
